A useful inventory record connects the item you own to the money you eventually make or lose on it. At minimum, keep a simple SKU or item ID, the item name, category, storage location, date sourced, source, condition, known flaws, item cost and target selling price. When the item sells, connect that record to the sale price, fees, shipping and packaging costs.
The storage location matters more than it sounds. A profitable item you cannot find when it sells creates cancellations, delays and unnecessary stress. The item cost matters because profit cannot be calculated accurately without it. Condition and flaw notes help you write more consistent listings and reduce the chance of forgetting something important later.
Do not make the system more complicated than your business needs. A solo reseller usually benefits more from a simple record updated consistently than from a perfect spreadsheet that takes too long to maintain. The goal is to answer three questions quickly: what do I have, where is it, and how much money is tied up in it?
